Privacy Policy

BACKGROUND
The Portuguese Entrepreneurial Association, henceforth referred to as «AEP» is a private non-profit that respects the privacy of its interlocutors. The AEP Privacy Policy explains who we are, why we collect personal information, how we process it, who we share it with, how long we store it and how to get in touch with us to exercise your rights. 

By accepting the AEP Privacy Policy you are giving us your consent for the processing of personal data for the purposes indicated below. Therefore, we advise you to read carefully this Privacy Policy, as well as the Terms and Conditions.

DATA CONTROLLER
The data controller is AEP – Associação Empresarial de Portugal, tax number 500 971 315, based in Avenida da Boavista, 2671, 4100-135 Porto, telephone +(351) 22 998 15 00.
In some circumstances AEP will act as a subcontractor, having data processed by another entity that will act as data controller. 
In these cases we recommend you consult the privacy policy and/or other information regarding data processing provided by the data controller.

PROCESSING OF INFORMATION
AEP is committed to processing personal data in a licit and transparent fashion. 
Personal data is only gathered for specific, explicit and legitimate purposes, and is never processed in any way that is incompatible with these purposes. 

AEP gathers personal data in the following situations:
1. When it has a legitimate reason to do so, namely for
1.1. The development and maintenance of Electronic Websites and Platforms;
1.2. Provision of services or information;
1.3. Ensuring safety of information;
1.4. Participation in training or informative events, organised or supported by AEP;
1.5. Participation in funded or non-funded projects that are promoted or supported by AEP;
1.6. Recruitment processes;
1.7. Other cases, provided our interest lies within applicable legislation and respects your rights.

2. When it has obtained the clear consent of the data subject, namely to:
2.1. Provide information on events promoted, or supported by the AEP;
2.2. Invitations;
 
3. Whenever necessary for the fulfilment of legal obligations.
 
If you provide somebody else’s personal information you should make sure that you have read the AEP’s Privacy Policy beforehand. 
If you are under 16, please do not provide personal information, unless you have your parents’ or guardian’s permission to do so. 
Please help us to keep your personal information up-to-date. To this end you should provide AEP with information regarding any changes to your personal information, especially contact details. 

WHAT PERSONAL DETAILS DOES AEP STORE AND SHARE
When you fill out the forms on our website, and/or take part in our Events or Projects, the personal information you provide – such as your name, professional email, tax number and professional telephone number or address – is stored by AEP and processed to respond to requests.

Within the scope of its mission as a Public Service Entity, AEP gathers and stores video, audio and photographic images, in the pursuit of its legitimate interests, namely to promote and spread the word about the public activities it promotes among the business fabric, through the means at its disposal. 

AEP also gathers and stores video, audio and photographic images to better manage the funded projects through which it undertakes some of its activities in support of the business fabric. 

When you take part in Events or Projects organized and/or supported by AEP, some of your personal information may be shared with the organizing entities, sponsors and funding entities, namely public funding managing entities. 

When you participate in an AEP Recruitment Process, your data will be provided to AEP through an online application. The application data will be stored in computerized files and shared internally with everyone involved in the process. The personal data processed will be those contained in the application form and in the Curriculum Vitae, as well as all the personal data that you spontaneously decide to transmit.
If you fill a vacancy, your data will be transferred to the Human Resources management systems, where it will be saved as employee data and processed accordingly.

It may also be shared with subsidiaries of AEP Group, within the scope of the Group’s activities. 

In all cases, we demand that these entities have in place adequate safety measures to protect your personal information. 

AEP has an Internal Privacy and Confidentiality Regulation in force that obliges all its employees to keep information confidential, namely all information, documents, projects and technological tools with which they contact during their professional career at AEP service.

STORAGE DATA PERIOD
AEP stores data only for as long as necessary to fulfil the needs that required the gathering of the data in the first place, unless there are specific legal demands to the contrary, such as the legal obligations related to participation in EU funded projects. 

DATA PROPRIETOR’S RIGHTS
The subject may exercise his right to access, correct, delete, limit or deny processing or, when applicable, the transmission of his personal information. 
If the processing depends on consent, the subject has the right to withdraw it at any time, although this right does not affect the legality of the processing of information based on previously given consent. 
If the processing depends, legally, on consent, the subject has the right to withdraw it at any time, although this right does not affect the legality of the processing of information based on previously given consent nor future processing according to another legal requirement, such as the fulfilling of a contract or legal obligation to which AEP is subject.

Proof of identity may be required, to guarantee that personal data is only shared with the subject. 
Bare in mind that in certain circumstances, (for example, for legal reasons) the request may not be immediately satisfied.
In any case, you will be informed of what measures are going to be taken, within one month of the moment the request is made. 
You are entitled to file a complaint with the National Data Protection Commission. 

SAFETY AND CONFIDENTIALITY
AEP is committed to guaranteeing the safety and confidentiality of all the personal information gathered. However, information transmitted through the internet is never completely safe and, therefore, we cannot fully guarantee the security of information transmitted through our website or through any application available on the Internet. 

AEP has been adopting a number of safety measures to protect personal information from any illicit use and has also been demanding that its partners adopt safety measures equivalent, at least, to those it has in place itself. We do not sell or make commercial use of your information to, or with, third parties. 

AEP takes responsibility for keeping your information confidential, according to this Privacy Policy and applicable legislation. 

CHANGES TO SAFETY POLICY 
AEP may, at any time, update this Privacy Policy.
If AEP does decide to change its Privacy Policies, the new version will replace the current one and will be in place as of publication on this website. AEP’s relationship with all users will be regulated by the new version.
